Creating Your First AI System

Last updated February 17, 2026

Learn how to register and classify your first AI system in Arcus. This guide walks you through the entire process step by step.

Before You Begin

Make sure you have:

  • Created your Arcus account
  • Set up your organization
  • Gathered information about your AI system

Overview

Registering an AI system in Arcus involves:

  1. Basic system information
  2. Technical details
  3. Use case and purpose
  4. Data and user information
  5. Deployment status

Step-by-Step Guide

1. Navigate to AI Systems

From your dashboard:

  • Click AI Systems in the left sidebar
  • Click the + Register New System button in the top right

2. Enter Basic Information

Fill in the system basics:

  • System Name: A clear, descriptive name
  • System Type: Choose from dropdown (e.g., ML model, rule-based, hybrid)
  • Owner: Team or department responsible
  • Status: Development, Testing, Production, or Retired

Example:

Name: Customer Support Chatbot
Type: ML Model (NLP)
Owner: Customer Success Team
Status: Production

3. Describe the Purpose

This is crucial for accurate classification. Be specific about:

  • Primary purpose: What does the system do?
  • Use case: How is it used?
  • Decision-making: Does it make automated decisions?
  • Human oversight: Is there human review?

Good Description Example:

This chatbot handles tier-1 customer support inquiries for our e-commerce
platform. It uses natural language processing to understand customer questions
and provides automated responses. For complex issues, it escalates to human
agents. The system operates 24/7 and handles approximately 10,000 interactions
per day. All automated decisions are logged and can be reviewed by support
supervisors.

Poor Description Example:

Chatbot for customer support

The more detail you provide, the more accurate the classification.

4. Specify User Groups

Identify who interacts with the system:

  • End users: Customers, employees, public?
  • Geographic location: Where are users located?
  • Vulnerable groups: Any minors, elderly, or protected groups?

This affects risk classification under the EU AI Act.

5. Data Information

Describe the data your system uses:

  • Input data: What data does it process?
  • Personal data: Does it use PII?
  • Sensitive data: Any special categories (health, biometric, etc.)?
  • Data sources: Where does data come from?

6. Risk Indicators

Check any that apply to your system:

  • ☐ Biometric identification
  • ☐ Critical infrastructure
  • ☐ Education/training
  • ☐ Employment decisions
  • ☐ Law enforcement
  • ☐ Credit scoring
  • ☐ Healthcare
  • ☐ Safety-critical applications

These directly impact EU AI Act classification.

7. Review and Submit

Before submitting:

  • Review all information for accuracy
  • Ensure descriptions are detailed
  • Verify risk indicators are correct
  • Add any additional notes

Click Register System to proceed.

After Registration

Once registered, Arcus will:

  1. Classify your system using AI analysis
  2. Determine risk level under EU AI Act
  3. Identify compliance requirements
  4. Generate recommendations

This typically takes 10-30 seconds.

Understanding Your Classification

You'll receive:

  • Risk Level: Unacceptable, High-Risk, Limited Risk, or Minimal Risk
  • Confidence Score: How certain the AI is (0-100%)
  • Applicable Articles: Relevant EU AI Act articles
  • Compliance Actions: What you need to do next

If confidence is below 60%, you can request expert human review.

Next Steps

Based on your classification:

High-Risk Systems

  • Generate technical documentation
  • Create risk assessments
  • Set up monitoring
  • Establish human oversight

Limited Risk

  • Implement transparency obligations
  • Create user disclosures
  • Set up basic monitoring

Minimal Risk

  • No specific obligations
  • Best practice recommendations
  • Optional monitoring

Tips for Better Classifications

Be Detailed

The more information you provide, the more accurate the classification.

Use Clear Language

Avoid jargon. Describe in plain terms what the system does.

Include Context

Explain how the system is used in your specific industry and use case.

Update Regularly

Re-classify when your system changes significantly.
